These rules are a way for you to ask QuickBooks Online to prefill some information when transactions are downloaded from the bank. Bank rules can be set for expenses, deposits, and transfers. Even if the transactions in your bank feed change slightly from month to month,  a bank rule can capture these changes and create entries in your QBO system. You can view which downloaded transactions were recognised by a bank rule. While inside your For review tab, select Recognised from the All transactions ▼ dropdown menu. This will list all transactions that were recognised by any bank rule.

Bank Rules automate the categorization of the transactions on the bank feed, including assignment of the transaction type, category, payee, class, and location. They can also be used to automatically split transactions. Rules can be prioritized over other rules, copied, edited, and exported. You can even create bank rules to automatically add transactions to the register. Does your nonprofit organization regularly do business with the same donors, customers or vendors? If your bank rule is to classify expenses, and primarily expenses that are paid online or digitally, select the Expense option.
